BILL for Docusign IAM

A BILL Docusign integration that runs inside Workflow Builder: read a vendor, customer, bill or invoice to pre-fill the agreement, create or update it after signing, and file the signed document on the record in BILL.

BILL for Docusign IAM is a Fluidlabs extension app listed on the Docusign App Center under the name BILL. Its steps appear natively in Docusign Workflow Builder, and Fluidlabs runs the app on its own infrastructure (US region, AWS), so there is no Zapier, Make or other automation platform to set up.

Capabilities

What it adds inside Workflow Builder

Once installed, the app's actions appear as native workflow steps. No code, no separate automation platform, no sync jobs to run.

Read from BILL

Pull a vendor, customer, bill or invoice into the workflow and use its fields as variables to pre-fill the agreement: names, contact details, addresses, tax details, invoice numbers, dates, amounts and payment status. Find a record by Record ID or by a searchable field, such as a vendor's name or an invoice number, and return one record or several, newest first.

Writeback to BILL

Create or update a vendor, customer, bill or invoice with Update, Create, or Update or Create, which updates the matching record or creates one when the rule finds none. A bill is written to its vendor, and an invoice to its customer, by the Record ID an earlier step returned. Only the mapped fields change, and a blank value is skipped, so a blank never clears a field.

File Upload to BILL

File the signed document on the record in BILL: as an attachment on a vendor, customer or invoice, and as a document on a bill, where BILL shows it beside the bill details. The folder holds the record's Record ID from an earlier step. Files can be up to 6 MB.

Sync-token connection

The connection uses an AP & AR sync token of one BILL organization: a BILL administrator creates the token in BILL and enters it with the Organization ID. No BILL user password is entered or stored, and the app reads and writes records and files only. It never pays, schedules or collects money.

Live in an afternoon

To connect BILL to Docusign, install the app from the App Center like any Docusign extension, authorize your BILL account, and add the steps to a workflow. Full setup, configuration and known behaviors are covered in the documentation.

What finance teams run on it

Bill approvals

A signed approval creates the bill

Read from BILL finds the vendor, Prepare eSignature Template pre-fills the approval with its details, and Send Documents for Signature delivers it. After signing, File Upload to BILL files the signed PDF on the vendor, and a Writeback step creates the bill from the signed values with the vendor's Record ID.

Vendor onboarding

A signed vendor form creates or updates the vendor

A Writeback step with Update or Create turns the data collected during signing into a BILL vendor, with its address, tax ID, tax ID type, 1099 status and payment notification email. Keyed on the Record ID, the next run updates the same vendor instead of creating a second one.

Customer invoices

A signed customer agreement becomes an invoice

A Writeback step creates the invoice for the customer's Record ID, with the quantity, price and description of its first line, and File Upload to BILL attaches the signed agreement to it. BILL emails every attachment on an invoice with the invoice when it sends it.

FAQ

The BILL Docusign integration, answered

Does BILL integrate with Docusign?
Yes. BILL for Docusign IAM, published on the Docusign App Center by Fluidlabs, a Docusign Build IAM Specialized Partner, adds Read, Writeback and File Upload steps for BILL inside Docusign Workflow Builder. It works with BILL vendors, customers, bills and invoices.
Is this the official BILL integration for Docusign?
It is a Fluidlabs app, not one from BILL or Docusign. Fluidlabs, a Docusign Build IAM Specialized Partner, built it, operates it and supports it, and it is listed on the Docusign App Center under the name BILL, with Fluidlabs as the publisher.
Is BILL the same as Bill.com?
Yes. BILL is the company formerly known as Bill.com. The app works with the records of a BILL organization: vendors and bills on the payables side, customers and invoices on the receivables side.
Do I need Zapier or Make to connect BILL and Docusign?
No. The steps appear natively in Docusign Workflow Builder once you install the app from the Docusign App Center, and Fluidlabs runs the app on its own infrastructure. There is no Zapier, Make or other automation platform to set up, and no sync jobs to monitor.
Which BILL records can the workflow use?
Four. Vendors, customers, bills and invoices can each be read, searched, created and updated. On a bill or an invoice, the first line is read and written, and Line Count says how many lines the record holds; lines beyond the first are not readable or writable in this version. The app does not archive or delete records.
Can the app pay a bill?
No. The connection is a BILL sync token, which has no payment capability: the app reads and writes records and files, and it never pays, schedules or collects money. Payment set-up, such as payment terms and pay-from and pay-to accounts, stays in BILL.
How does the app connect to BILL?
With an AP & AR sync token of one BILL organization. A BILL administrator creates the token under Settings, Sync & Integrations, Tokens, and notes the Organization ID. In the connect window you allow access, then enter the Organization ID, the token's name and its value. No BILL user password is entered or stored, and one connection serves one organization.
Where does the signed document go in BILL?
File Upload to BILL files it on the record whose Record ID the folder holds: as an attachment on a vendor, customer or invoice, and as a document on a bill. Files can be up to 6 MB. A workflow that runs again files another copy, and BILL keeps both.
Does it work with Docusign Maestro?
Yes. Maestro is now called Docusign Workflow Builder, and that is where the BILL steps run. Read from BILL, Writeback to BILL and File Upload to BILL are added to a workflow like any other step.
What do I need to use it?
A BILL organization with a BILL administrator who can create sync tokens, and a Docusign account with admin rights to install and manage apps in the App Center.
Where does our BILL data go?
Record data moves between BILL and your Docusign account at workflow runtime: the Read step pulls the fields you select into workflow variables, and the Writeback and File Upload steps send data and signed files back to BILL. Fluidlabs operates the app under ISO 27001 certification, hosted in the US region on AWS.
How long does setup take?
A BILL administrator creates a sync token and notes the Organization ID. Then search for BILL in the Docusign App Center, click Install App, then Install and Authorize. Click Connect Account, choose a Private or Shared connection, name it, click Log In, allow access and enter the Organization ID and the token's name and value; the connect window stays usable for 30 minutes. The three BILL steps are then available in Workflow Builder, and building the workflow takes as long as your process needs.
What does support look like?
Named support at docusign-support@fluidlabs.com, monitored weekdays 09:00-19:00 CET, with priority-based response targets set out in the Service Terms.
Can Fluidlabs build the workflow for us?
Yes. Fluidlabs builds Docusign extension apps and the Workflow Builder flows around them as a service. The team behind this app can design and configure your BILL agreement workflow end to end.

Need BILL to do more than the app covers?

The app covers the steps on this page. When you need a custom object, a module the app skips, or a sync on your own schedule, we scope that work as an integration and put a fixed price in writing. Enterprise Integration starts at $45,000.
