HubSpot builds it and lists it in the HubSpot Marketplace. It starts inside HubSpot: you create, send and track envelopes from a contact, company or deal record, and a Docusign card shows the status of each envelope. A HubSpot workflow can send an envelope from a template.

Docusign publishes it on the Docusign App Center. It adds three steps to Docusign Workflow Builder: Read from HubSpot, Writeback to HubSpot and Store Files in HubSpot. The steps cover standard objects and custom objects. It needs a Docusign IAM plan.

Integration Glue lists it in the HubSpot Marketplace. A HubSpot workflow sends the envelope to up to four signatories. Integration Glue's app then attaches the signed copy to a note on the record and syncs envelope status to it. Zapier and Make also list both products, and a Zap can start a Workflow Builder workflow from a HubSpot deal stage.

What each Docusign and HubSpot integration covers

Each note below comes from the publisher's own documentation, in its terms. The first four belong to HubSpot's app, which HubSpot lists under the name Docusign. The last four belong to the app from Docusign, which Docusign lists under the name HubSpot.

  1. No data sync between the two systems

    HubSpot's app, listed as Docusign

    HubSpot states that its integration lets you select and send documents and see their status. It does not sync information about contacts, companies, deals or the document between HubSpot and Docusign.

  2. Company records do not fill mapped fields

    HubSpot's app, listed as Docusign

    HubSpot fills mapped fields from the contact or deal record used to create the envelope. It does not fill them on an envelope created from a company record, because that envelope starts with no recipients.

  3. Workflow sends follow the template's recipients

    HubSpot's app, listed as Docusign

    In a contact-based workflow, the Docusign template can set only the enrolled contact as a recipient. In a deal-based workflow, the template cannot have more recipients than the deal has associated contacts.

  4. Custom mapping and workflows need higher plans

    HubSpot's app, listed as Docusign

    Custom property mapping needs a Docusign eSignature Business Pro plan or higher. Workflow features need a Professional or Enterprise subscription to Marketing Hub, Sales Hub, Service Hub or Data Hub.

  5. A read returns up to five records

    Each Read from HubSpot step returns up to five matching records to the workflow.

  6. Store Files takes files up to 10 MB

    The Store Files in HubSpot step stores files up to 10 MB. It needs a Read from HubSpot or Writeback to HubSpot step before it in the workflow.

  7. Some objects and fields sit outside the steps

    Docusign lists Email and Feedback submission as objects the steps do not support, and the steps cannot create a new Lead record. Number fields arrive as text, so rules on them use only equal to and not equal to.

  8. Stage values need HubSpot's internal names

    Workflow Builder does not support all list and dropdown fields. To write a Deal Stage or Lifecycle Stage value, you enter HubSpot's internal name for that value in the Writeback step.

What a private app covers

The HubSpot app from Docusign reads, writes and files HubSpot records. A private app covers the four jobs below when your process reaches a third system. Each job rests on an ability HubSpot documents for its API, and we confirm it against your HubSpot account during scoping.

Start the workflow from a deal stage change

Your private app subscribes to changes of the dealstage property, or a HubSpot workflow calls it through the Send a webhook action, which needs Data Hub Professional or Enterprise. It then starts the Docusign workflow through the API.

Pass the deal to the workflow

The private app sends the deal's record ID as a start variable. The Docusign Read from HubSpot step uses that ID to find the deal and pull its fields into the agreement.

Write signed values to HubSpot and a third system

Once the agreement completes, your private app sends the signed values to your billing or ERP system, and the Docusign Writeback step or HubSpot's deals API puts them on the deal.

Record the ERP order number on the deal

Your billing or ERP system creates the order, and the private app writes the order number to a custom deal property through HubSpot's deals API.

Authentication
An app that installs in more than one HubSpot account must use OAuth. An app for a single account uses a static auth access token.
Webhooks
An app subscribes to creation, deletion, merge, restore, association change and property change events on contacts, companies, deals, tickets, products and line items. HubSpot signs each request and retries a failed notification up to 10 times over 24 hours. HubSpot's feature table lists webhooks for apps with a static token and for OAuth apps.
API limits
A Marketplace OAuth app gets 110 requests every 10 seconds for each account that installs it. An app with private distribution gets 100 requests per 10 seconds on Free and Starter and 190 on Professional and Enterprise, inside a daily limit of 250,000 to 1,000,000 requests per account.
Test environment
HubSpot gives developers free test accounts, up to 10 for each standard account, with a 90-day trial of many Enterprise features. An account on an Enterprise subscription can also create a sandbox that copies the structure of the standard account.
Marketplace listing
HubSpot Marketplace. A listed app must use OAuth as its sole authorization method and have at least three active, unique installs. The listing needs public setup documentation, accurate pricing information and at least one support contact method.

Start the order form from the Contract sent stage

A rep moves the deal to Contract sent in HubSpot, and a Zap or your private app starts the Docusign workflow. The Docusign Read step fills the order form with the deal amount and the contact's details.

Write the signed date and contract term back to the deal

The customer signs and enters the contract term. The Docusign Writeback step puts the term and the signed date on the deal, and finance builds its renewal report from HubSpot.

Tell billing when the customer signs

The Docusign Writeback step puts the signed values on the deal, and your private app sends them to your billing system. Finance raises the first invoice without asking sales for the signed terms.

Does HubSpot integrate with Docusign?
Yes. HubSpot builds a Docusign integration that creates, sends and tracks envelopes from contact, company and deal records, and lists it in the HubSpot Marketplace. The HubSpot app Docusign publishes on the Docusign App Center adds read, writeback and file steps to Docusign Workflow Builder.
Does Fluidlabs have a HubSpot app on the Docusign App Center?
No. Docusign publishes and supports the HubSpot app on the Docusign App Center. For steps that reach billing or an ERP, we build a private app for your account. We publish it so that only your Docusign accounts can install it, and we host it. If the app from Docusign covers your process, use it. We can set it up in your account.
How do I connect HubSpot to Docusign?
For HubSpot's Docusign app, an admin installs Docusign from the HubSpot Marketplace, and each HubSpot user then connects their own Docusign user. For the HubSpot app from Docusign, a Docusign admin installs HubSpot from the Docusign App Center and connects the HubSpot account. Docusign tells admins to wait at least 30 minutes before they configure a HubSpot step.
Can a HubSpot deal stage start a Docusign workflow?
Yes. Docusign names From an API call as the start method for a workflow that an external system launches. Zapier lists a HubSpot trigger, Updated Deal Stage, and a Docusign action, Trigger Workflow, for IAM plans, so one Zap can start it. A private app does the same from HubSpot's deal.propertyChange webhook. HubSpot's Docusign app sends an envelope from a template when a HubSpot workflow enrolls the deal.
Do I need Zapier or Make for a Docusign integration with HubSpot?
No. HubSpot and Docusign each publish an integration, so many teams need no connector. Zapier and Make both list Docusign and HubSpot, and a connector suits one simple automation that someone on your team owns.
Can a Docusign workflow call another system's API without a custom build?
Yes, when the other system's API fits the step. On qualifying IAM plans, such as IAM Professional and above, Docusign Workflow Builder has a Make a Web Request step, and Docusign installs the HTTP app the step needs. The step sends GET, POST or PUT requests to another system's API. The Docusign guide "Configure a Make a Web Request Step" lists Basic Auth connections, and the Docusign overview, "Connect to Any Service Using Web Requests", also lists OAuth 2.0 client credentials. If your system's API accepts one of those connections and each call is one of those requests, a workflow can call it. We check that on the scoping call. A custom build covers other sign-in methods and request types, and work that runs outside a workflow.
