What a private app covers

A private app does the work between Intuit's API and Docusign. A user authorizes each QuickBooks Online company, and the private app refreshes that company's tokens, answers Intuit's webhooks and runs the four jobs below. Intuit documents the API ability behind each job, and we confirm it against your QuickBooks company during scoping.

Send the QuickBooks estimate for signature

The private app fetches the estimate as a PDF through Intuit's API and sends it to the customer through Docusign, with the name and email from the customer record.

Write the acceptance back to the estimate

Once the customer signs, the private app sets the estimate's status to Accepted, writes the signer's name and the acceptance date, and attaches the signed PDF to the transaction.

Create the invoice after the signature

The private app creates the invoice in QuickBooks Online for the right customer once the agreement completes, with the line items from the signed order form.

Start from a change in QuickBooks

Intuit sends a webhook when someone creates, updates or emails an estimate or an invoice. The private app answers within 3 seconds, reads the record and starts the Docusign workflow. It calls the change data capture operation for missed events.

Authentication
Intuit uses OAuth 2.0. A user authorizes the app for one QuickBooks Online company, which Intuit identifies by its realm ID. Access tokens last 60 minutes, and refresh tokens carry a rolling expiry of 100 days.
Webhooks
Intuit sends a webhook to the app when data changes in a connected QuickBooks Online company, and it signs each notification with the app's verifier token. The endpoint must answer with HTTP 200 within 3 seconds. Intuit retries a failed event at intervals that start at 10 seconds and settle at 6 hours.
API limits
The QuickBooks Online REST API allows 500 requests per minute per realm ID and 10 requests per second per realm ID and app. The batch endpoint takes 40 requests per minute per realm ID and app. An app in the Builder tier of the Intuit App Partner Program gets 500,000 CorePlus API calls per workspace per month, and Intuit answers further calls with HTTP 429.

A developer account comes with a sandbox company that holds sample data. A developer creates up to 10 sandbox companies, on QuickBooks Online Plus or QuickBooks Online Advanced, and each one stays valid for two years.

Get the estimate signed and mark it accepted in QuickBooks

Your team creates the estimate in QuickBooks Online. The customer signs it in Docusign, and the private app sets the estimate to Accepted with the signer's name and the date, so nobody updates it by hand.

Send the purchase order to the vendor for signature

Your team raises a purchase order in QuickBooks Online. The private app fetches it as a PDF and sends it to the vendor through Docusign, with the vendor's details from the vendor record.

Raise the invoice once the customer signs the order form

Sales closes the deal in the CRM and the customer signs the order form. The private app creates the invoice in QuickBooks Online from the signed values, and finance stops retyping the order.

Does QuickBooks integrate with Docusign?
Yes. A Docusign partner lists a QuickBooks app on the Docusign App Center, Zapier lists Docusign with QuickBooks Online, and Make lists Docusign with QuickBooks. On 27 September 2026 a search for docusign in the QuickBooks App Store returned no app with Docusign in its name. We build and host a private app for your account when you want us to run your estimate, invoice or purchase order steps.
Does Fluidlabs have a QuickBooks app on the Docusign App Center?
No. A Docusign partner lists a QuickBooks app on the Docusign App Center. Fluidlabs publishes an accounting app for Xero, Xero for Docusign IAM. For QuickBooks, we build a private app for your account, publish it to your Docusign accounts only and host it.
How do I connect QuickBooks to Docusign?
With Zapier or Make, you connect both accounts in the connector and build the automation there. Zapier marks QuickBooks Online as a Premium app. For a private app, a user authorizes each QuickBooks Online company through Intuit's OAuth 2.0 flow, and we publish the app to your Docusign accounts only.
Does a QuickBooks Online Docusign workflow cover estimates and invoices?
Yes. Zapier and Make list Docusign with QuickBooks for teams that run their own automations. Intuit's API creates and updates estimates and invoices and returns each one as a PDF, so a private app sends the estimate for signature, marks it Accepted and creates the invoice after the signature.
Can a change in QuickBooks start a Docusign workflow?
Yes, through a service that receives Intuit's webhooks and calls Docusign. Docusign names From an API call as the start method for a workflow that an external system launches. Intuit sends a webhook when data changes in a connected company, and its change data capture operation returns the records that changed within a look-back period. A private app receives the change, reads the record and calls Docusign, and Zapier and Make also list both products.
Can a Docusign workflow call another system's API without a custom build?
Yes, when the other system's API fits the step. On qualifying IAM plans, such as IAM Professional and above, Docusign Workflow Builder has a Make a Web Request step, and Docusign installs the HTTP app the step needs. The step sends GET, POST or PUT requests to another system's API. The Docusign guide "Configure a Make a Web Request Step" lists Basic Auth connections, and the Docusign overview, "Connect to Any Service Using Web Requests", also lists OAuth 2.0 client credentials. If your system's API accepts one of those connections and each call is one of those requests, a workflow can call it. We check that on the scoping call. A custom build covers other sign-in methods and request types, and work that runs outside a workflow.

Who hosts and maintains what Fluidlabs builds?
