Xero for Docusign IAM

A Xero Docusign integration that runs inside Workflow Builder: pull contact records, invoice details, and financial data from Xero to prepare documents automatically, then write signer updates back and file the signed agreement on the right contact. Books and agreements stay in sync, and nothing is re-typed.

Compare the routes

Which Xero + Docusign integration do you need?

There is more than one way to connect Xero to Docusign, and the routes solve different jobs. Here is how they compare.

Xero for Docusign eSignature (Amaka)

Amaka's app sends Xero invoices and quotes out for Docusign eSignature on a sync schedule. It fits teams whose starting point is a document generated in Xero that needs a signature.

Generic connectors (Zapier, Workato)

Middleware platforms pass data between Xero and Docusign through automations that run outside both products. Flexible for one-off recipes, but the connection lives in a third system your team maintains.

This app

Xero for Docusign IAM (this app)

Runs at the workflow layer, inside Docusign Workflow Builder: read Xero contacts and invoices into an agreement workflow, write signer updates back, and file the signed document on the right contact. Choose it when the agreement process itself lives in Docusign.

Capabilities

What it adds inside Workflow Builder

Once installed, the app's actions appear as native workflow steps. No code, no middleware, no separate sync jobs.

Read from Xero

Retrieve a Xero contact's fields mid-workflow (name, email address, contact number, account number) and use them as workflow variables to pre-fill agreements. A matching rule, such as Account Number equals the workflow's object_id, finds the right record on every run.

Writeback to Xero

Update an existing Xero record or create a new one from data the workflow collected, such as signer input from a web form. Update or Create mode updates the record if it exists and creates it if it does not; the Name field is the key the Xero API matches on.

File Upload to Xero

Attach the signed agreement, or any file the workflow generated, to a specific Xero contact. Point the upload at the Contact ID from the Read step and the document appears on that contact's Files tab in Xero, named with variables you choose, for example Contact Number - W-9 Form.

Shared and private connections

Connect one or more Xero organizations without reinstalling the app. Shared connections are usable by the whole Docusign team, private ones only by you, and each connection can be renamed, reconnected, or deleted from Manage Connections.

Live in an afternoon

To connect Xero to Docusign, install the app from the App Center like any Docusign extension, authorize your Xero account, and add the steps to a workflow. Full setup, configuration and known behaviors are covered in the documentation.

What finance teams run on it

Vendor onboarding

Collect a W-9 and file it where it belongs

Read the vendor's record from Xero, send the form for signature with the details pre-filled, and attach the signed W-9 to that vendor's Files tab automatically. The upload targets the Contact ID, so the file always lands on the vendor who signed, never in a generic folder.

Records in sync

Update the books from what the signer entered

Read client data from Xero, send documents for signature using that data, then write the signer's updated information back to the client record. Update or Create handles existing clients and new ones in the same workflow, so nothing is re-typed into Xero afterwards.

API-triggered workflows

Start agreement workflows from your own systems

Trigger a workflow from an external system via API call, passing a Xero identifier into the object_id variable. The workflow reads that contact, prepares the documents, and runs as an automated process from there.

FAQ

The Xero Docusign integration, answered

Does Docusign integrate with Xero?
Yes, in more than one way. Amaka's Xero for Docusign eSignature app sends Xero invoices and quotes out for signature on a sync schedule. This Fluidlabs app works at the workflow layer instead: it adds Read, Writeback, and File Upload steps for Xero inside Docusign Workflow Builder, so agreement workflows use live accounting data and file the signed document on the right Xero contact.
Is this the official Xero integration for Docusign?
It is built and operated by Fluidlabs, a Docusign Build IAM Specialized Partner. Xero did not build it. It is listed in the Docusign App Center, which means it shipped through Docusign's review, and it connects to your accounting data through the Xero API.
Does it work with Docusign Maestro?
Yes. Maestro is now called Workflow Builder, and that is where the Xero app runs: its Read from Xero, Writeback to Xero, and File Upload actions are added to a workflow like any other step.
How do I connect Xero to Docusign?
Install the app from the Docusign App Center, grant the requested permissions, and click Connect Account. Choose a Shared or Private connection, name it, and log in to Xero to authorize your organization. Then open Workflow Builder under Agreements and add the Xero Read, Writeback, or File Upload steps to any workflow.
What Xero data can a Docusign workflow read and write?
The Read step pulls the contact and invoice fields you select into workflow variables. The Writeback step updates Xero with data the signer entered, and the File Upload step attaches the signed agreement to the matching Xero contact.
What do I need to use it?
A Xero account with the required permissions, and a Docusign account with Admin rights to install and manage applications. You install the app from the Docusign App Center and build your workflows in Docusign Workflow Builder under Agreements > Workflows.
Where does our accounting data go?
It moves between Xero and your Docusign account at workflow runtime: the Read step pulls the contact fields you selected into workflow variables, and the Writeback and File Upload steps send data and signed files back to Xero. Fluidlabs operates the app under ISO 27001 certification, hosted in the US region on AWS.
How long does setup take?
Installation is a short guided sequence: install the app from the Docusign App Center, grant the requested permissions, click Connect Account, choose a Shared or Private connection, name it, and log in to Xero to authorize your organization. Once connected, you build workflows in Workflow Builder, and the documentation walks through configuring each Xero step.
What does support look like?
Named support at docusign-support@fluidlabs.com, monitored weekdays 09:00-19:00 CET, with priority-based response targets set out in the Service Terms.
Can Fluidlabs build the workflow for us?
Yes. The team that built and operates this app also offers Docusign extension app development as a service: a 4-week engagement covering scoping, build, documentation to the same standard as these docs, and App Center submission. Custom workflows and private extensions for your own Docusign account are part of that service.
