NetSuite for Docusign IAM

A NetSuite Docusign integration that runs inside Workflow Builder: read a customer, contact, opportunity, vendor, quote, sales order, invoice or purchase order to pre-fill the agreement, create or update the customer, contact, vendor, employee, partner or opportunity after signing, and attach the signed document to the record.

NetSuite for Docusign IAM is a Fluidlabs extension app listed on the Docusign App Center under the name NetSuite. Its steps appear natively in Docusign Workflow Builder, and Fluidlabs runs the app on its own infrastructure (US region, AWS), so there is no Zapier, Make or other automation platform to set up.

Compare the routes

Three ways to get a NetSuite agreement signed

The routes start in different places. Here is what each one asks of your finance and sales teams.

Docusign for NetSuite

Docusign publishes Docusign for NetSuite in the SuiteApp Marketplace. A NetSuite user sends documents from a record, such as an opportunity, estimate or sales order, with the Send with Docusign button, and Docusign posts the signed PDF back to the record. Choose it when the agreement starts from a NetSuite record and a user sends it.

Automation platforms (Make)

Make lists NetSuite modules, such as Watch Records and Create or Update a Record, beside Docusign modules, including one that starts a Workflow Builder workflow. The automations run on Make and suit teams that already run their automations there.

This app

NetSuite for Docusign IAM (this app)

Runs inside Docusign Workflow Builder: a Read step pulls the customer, opportunity, order or invoice into the workflow, the agreement goes out pre-filled, File Upload attaches the signed document to the record and a Writeback creates or updates the record with the data collected during signing. Choose it when the agreement process itself runs on Docusign IAM.

Capabilities

What it adds inside Workflow Builder

Once installed, the app's actions appear as native workflow steps. No code, no separate automation platform, no sync jobs to run.

Read from NetSuite

Pull a contact, customer, employee, opportunity, partner, vendor, quote, sales order, invoice or purchase order into the workflow and use its fields, custom fields included, as variables to pre-fill the agreement. Find a record by Record ID or by a searchable field such as Email, and return one record or up to five. Quotes, sales orders, invoices and purchase orders are read only, with the header of the record and no item lines.

Writeback to NetSuite

Create or update a contact, customer, employee, opportunity, partner or vendor with Update, Create, or Update or Create, which updates the matching record or creates one when the rule finds none. Required fields are added to a Create step automatically, and an empty value leaves the field as it is, so a workflow never clears a field.

File Upload to NetSuite

Save the signed document in the NetSuite File Cabinet and attach it to the record. The folder holds the record's Record ID from an earlier step; the file appears on the Files subtab of a customer, contact or vendor, and under Activities on an opportunity. A Docusign Workflow Documents drive saves a file without attaching it.

Machine-to-machine connection

The connection uses the NetSuite OAuth 2.0 client credentials (machine to machine) grant. A NetSuite administrator creates an integration record, a role and a user once, then uploads the certificate the app generates; the private key stays with the app. Workflows run unattended, the app reaches only what the role permits, and one certificate serves every connection to the account.

Live in an afternoon

To connect NetSuite to Docusign, install the app from the App Center like any Docusign extension, authorize your NetSuite account, and add the steps to a workflow. Full setup, configuration and known behaviors are covered in the documentation.

What finance and sales teams run on it

Order forms

The agreement goes out pre-filled from NetSuite

Read from NetSuite reads the customer, opportunity or quote by its Record ID, with the names, email, terms and totals the agreement needs. Prepare eSignature Template fills the agreement, and Send Documents for Signature delivers it.

Signed and filed

The signed agreement lands on the NetSuite record

After signing, File Upload to NetSuite saves the Combined Envelope File in the File Cabinet and attaches it to the customer, contact, vendor or opportunity found by the Record ID the Read step returned, so the team opens the signed copy from the record.

Records from signed forms

A signed form creates or updates the vendor

A Writeback step with Update or Create turns the data collected during signing into a vendor, with its subsidiary, tax number and primary contact, or into a customer or contact, and updates the same record on the next run instead of creating a second one.

FAQ

The NetSuite Docusign integration, answered

Does NetSuite integrate with Docusign?
Yes, in more than one way. Docusign publishes Docusign for NetSuite in the SuiteApp Marketplace, which sends documents from NetSuite records and posts the signed PDF back to the record. NetSuite for Docusign IAM, published on the Docusign App Center by Fluidlabs, a Docusign Build IAM Specialized Partner, works at the workflow layer instead: it adds Read, Writeback and File Upload steps for NetSuite inside Docusign Workflow Builder.
Is this the official NetSuite integration for Docusign?
It is a Fluidlabs app, not one from Oracle NetSuite or Docusign. Fluidlabs, a Docusign Build IAM Specialized Partner, built it, operates it and supports it, and it is listed on the Docusign App Center under the name NetSuite, with Fluidlabs as the publisher.
How is this different from Docusign for NetSuite?
Docusign for NetSuite works from inside NetSuite: a user sends documents from a record with the Send with Docusign button, and Docusign posts the signed PDF back to the record. This app works from Docusign. It runs inside Workflow Builder, reads the record, attaches the signed document to it and creates or updates NetSuite records with the data collected during signing, with routing and logic managed in Docusign. Teams that run the agreement process on Docusign IAM use this app; teams that send from NetSuite records can use Docusign for NetSuite.
Do I need Zapier or Make to connect NetSuite and Docusign?
No. The steps appear natively in Docusign Workflow Builder once you install the app from the Docusign App Center, and Fluidlabs runs the app on its own infrastructure. There is no Zapier, Make or other automation platform to set up, and no sync jobs to monitor.
Which NetSuite records can the workflow use?
Ten objects. Contacts, customers, employees, opportunities, partners and vendors can be read, created and updated. Quotes, sales orders, invoices and purchase orders are read only: the step reads the header of the record, without item lines. An object appears in the step only when the integration role has its permission.
Does it support NetSuite custom fields?
Yes, for the supported types. When you connect, the app loads each object's schema from your NetSuite account, custom fields included. Free-form text, text area, email, phone, check box, date, number, currency and percent fields can be read, written and searched, long text can be read and written, and rich text is read as plain text. List/record and multiple select fields are not available, and on quotes and transactions every custom field is read only.
How does the app connect to NetSuite?
Through the NetSuite OAuth 2.0 client credentials (machine to machine) grant. A NetSuite administrator enables REST Web Services, OAuth 2.0 and SuiteAnalytics Workbook, and creates an integration record, a role and a user. When you connect, you download the certificate the app generates and upload it to an M2M mapping in NetSuite; the private key stays with the app. The certificate is valid for two years, and the app reaches only the records the integration role can access.
Does it work with Docusign Maestro?
Yes. Maestro is now called Docusign Workflow Builder, and that is where the NetSuite steps run. Read from NetSuite, Writeback to NetSuite and File Upload to NetSuite are added to a workflow like any other step.
What do I need to use it?
A NetSuite administrator account, to enable the features and create the integration record, the role and the M2M mapping, and a Docusign account with admin rights to install and manage apps in the App Center. The role needs the permissions the documentation lists for each object you use, and it should not be the Administrator role.
Where does our NetSuite data go?
Record data moves between NetSuite and your Docusign account at workflow runtime: the Read step pulls the fields you select into workflow variables, and the Writeback and File Upload steps send data and signed files back to NetSuite. Fluidlabs operates the app under ISO 27001 certification, hosted in the US region on AWS.
How long does setup take?
A NetSuite administrator prepares the account once: the features, an integration record, a role and a user. Then search for NetSuite in the Docusign App Center, click Log In to Install, then Install and Authorize. Click Connect Account, choose a Private or Shared connection, name it, allow access, enter your NetSuite account ID, upload the certificate to an M2M mapping in NetSuite and click Verify & Connect, within 120 minutes. The three NetSuite steps are then available in Workflow Builder, and building the workflow takes as long as your process needs.
What does support look like?
Named support at docusign-support@fluidlabs.com, monitored weekdays 09:00-19:00 CET, with priority-based response targets set out in the Service Terms.
Can Fluidlabs build the workflow for us?
Yes. Fluidlabs builds Docusign extension apps and the Workflow Builder flows around them as a service. The team behind this app can design and configure your NetSuite agreement workflow end to end.

Need NetSuite to do more than the app covers?

The app covers the steps on this page. When you need a custom object, a module the app skips, or a sync on your own schedule, we scope that work as an integration and put a fixed price in writing. Enterprise Integration starts at $45,000.
