Zoho Recruit for Docusign IAM

A Zoho Recruit Docusign integration that runs inside Workflow Builder: read a candidate or job opening to pre-fill the offer letter, create or update the candidate or add a note once the envelope completes, and file the signed PDF in the candidate's Attachments.

Zoho Recruit for Docusign IAM is a Fluidlabs extension app listed on the Docusign App Center under the name Zoho Recruit. Its steps appear natively in Docusign Workflow Builder, and Fluidlabs runs the app on its own infrastructure (US region, AWS), so there is no Zapier, Make or other automation platform to set up.

Compare the routes

Three ways to connect Zoho Recruit and Docusign

The routes start in different places. Here is what each one does and when it fits.

Zoho's Docusign extension for Zoho Recruit

Built by Zoho and listed on the Zoho Marketplace: a recruiter sends documents for signature from a candidate or contact record, the extension merges them into one PDF, and the record lists its envelopes. Zoho Recruit's offer letter flow also offers Docusign as an e-sign option. It fits teams whose offers start from a Zoho Recruit record.

Automation platforms (Zapier, Make)

Zapier lists Zoho Recruit triggers and actions beside Docusign actions, and Make documents a Zoho Recruit app and a Docusign app. The automations run on the platform and suit teams that already run their automations there.

This app

Zoho Recruit for Docusign IAM (this app)

Runs inside Docusign Workflow Builder: a Read step pulls the candidate and the job opening into the workflow, the offer goes out pre-filled, a Writeback updates the candidate or adds a note, and File Upload files the signed PDF in the candidate's Attachments. Choose it when your offer process runs on Docusign IAM.

Capabilities

What it adds inside Workflow Builder

Once installed, the app's actions appear as native workflow steps. No code, no separate automation platform, no sync jobs to run.

Read from Zoho Recruit

Pull a Candidate or a Job Opening into the workflow and use its fields as variables to pre-fill an offer letter. Match a candidate by Email, Candidate ID, name, Mobile or Candidate Status, a job by Posting Title or status, or either by Record ID, and return one record or up to five.

Writeback to Zoho Recruit

Create a candidate, update one, or Update or Create on a match, Candidate Status included, or add a Note to a candidate with one of your account's Note Types. Keyed on Email, Update or Create updates the candidate on a repeat run, and Zoho Recruit refuses a second candidate with the same Email.

File Upload to Zoho Recruit

File the signed PDF, up to 20 MB, in the candidate's Attachments under the category you pick, such as Contracts or Others. The folder holds the candidate's Record ID from an earlier step, and the same file sent to the same candidate and category within 10 minutes is filed once.

Private or shared connections

Connect a Zoho Recruit account as a Private connection for one user or a Shared one for the team, from any Zoho data center except China. Reconnect after an app update to refresh the fields, and revoke access under Connected Apps in your Zoho account settings.

Live in an afternoon

To connect Zoho Recruit to Docusign, install the app from the App Center like any Docusign extension, authorize your Zoho Recruit account, and add the steps to a workflow. Full setup, configuration and known behaviors are covered in the documentation.

What recruiting teams run on it

Offer letters

The offer goes out pre-filled from the candidate

Read from Zoho Recruit finds the candidate by Email and reads the job opening, Prepare eSignature Template fills the offer letter, and Send Documents for Signature delivers it. Nobody re-types the candidate's name, the posting title or the salary.

Signed and filed

The signed offer lands in the candidate's Attachments

After signing, File Upload to Zoho Recruit files the Combined Envelope File under Contracts on the candidate, found by the Record ID that the Read step returned.

Candidate updates

Status and a note, written back automatically

A Writeback step sets the Candidate Status from your account's list or adds a note recording the agreement, so the recruiter sees the outcome in Zoho Recruit without opening Docusign.

FAQ

The Zoho Recruit Docusign integration, answered

Does Zoho Recruit integrate with Docusign?
Yes, in more than one way. Zoho publishes a Docusign extension for Zoho Recruit on the Zoho Marketplace, which sends documents for signature from candidate and contact records. Zoho Recruit for Docusign IAM, published on the Docusign App Center by Fluidlabs, a Docusign Build IAM Specialized Partner, works at the workflow layer instead: it adds Read, Writeback and File Upload steps for Zoho Recruit inside Docusign Workflow Builder.
Is this the official Zoho Recruit integration for Docusign?
It is a Fluidlabs app, not one from Zoho or Docusign. Fluidlabs, a Docusign Build IAM Specialized Partner, built it, operates it and supports it, and it is listed on the Docusign App Center under the name Zoho Recruit, with Fluidlabs as the publisher.
How is this different from Zoho's Docusign extension?
Zoho's extension works from inside Zoho Recruit: a recruiter opens a candidate or contact record and sends documents for signature from there, and the record lists its envelopes. This app works from Docusign. It runs inside Workflow Builder, reads the candidate and the job opening, writes the outcome back to the candidate and files the signed PDF in its Attachments, with routing and logic managed in Docusign. Teams that run the offer process on Docusign IAM use this app; teams that send offers from Zoho Recruit records can use Zoho's extension.
Do I need Zapier or Make to connect Zoho Recruit and Docusign?
No. The steps appear natively in Docusign Workflow Builder once you install the app from the Docusign App Center, and Fluidlabs runs the app on its own infrastructure. There is no Zapier, Make or other automation platform to set up, and no sync jobs to monitor.
Does it work with Docusign Maestro?
Yes. Maestro is now called Docusign Workflow Builder, and that is where the Zoho Recruit steps run. Read from Zoho Recruit, Writeback to Zoho Recruit and File Upload to Zoho Recruit are added to a workflow like any other step.
Can the workflow mark a candidate as Offered or Hired?
Not through Candidate Stage. On accounts with the Applications module, Offered and Hired belong to Candidate Stage, which the app reads but does not change. A Writeback step sets Candidate Status, the candidate-level status, to any value in your account's Candidate Status list, and can add a note recording the agreement.
What do I need to use it?
A Zoho Recruit account with permission to authorize integrations, in any Zoho data center except China, and a Docusign account with admin rights to install and manage apps in the App Center. The app connects through OAuth 2.0, and Zoho names it Docusign IAM Connector to Recruit module on its consent screen.
Where does our candidate data go?
Candidate and job opening data moves between Zoho Recruit and your Docusign account at workflow runtime: the Read step pulls the fields you select into workflow variables, and the Writeback and File Upload steps send data and signed files back to Zoho Recruit. Fluidlabs operates the app under ISO 27001 certification, hosted in the US region on AWS.
How long does setup take?
The install is a short sequence: search for Zoho Recruit in the Docusign App Center, click Install App, then Install and Authorize. Click Connect Account, choose a Private or Shared connection, name it, sign in to Zoho and click Accept. The three Zoho Recruit steps are then available in Workflow Builder, and building the workflow takes as long as your process needs.
What does support look like?
Named support at docusign-support@fluidlabs.com, monitored weekdays 09:00-19:00 CET, with priority-based response targets set out in the Service Terms.
Can Fluidlabs build the hiring workflow for us?
Yes. Fluidlabs builds Docusign extension apps and the Workflow Builder flows around them as a service. The team behind this app can design and configure your Zoho Recruit offer workflow end to end.

Need Zoho Recruit to do more than the app covers?

The app covers the steps on this page. When you need a custom object, a module the app skips, or a sync on your own schedule, we scope that work as an integration and put a fixed price in writing. Enterprise Integration starts at $45,000.
