How a Xero API integration moves data

Xero documents the API behind the last three mechanisms below, and our documentation covers the Workflow Builder steps. We pick one with you on the scoping call. The mechanism sets how fast a change reaches the other system and what happens when a call fails.

Workflow Builder steps

Our app, Xero for Docusign IAM, adds Read from Xero, Writeback to Xero and File Upload to a Docusign workflow. The workflow reads the contact, sends the agreement, writes the signer's details back and files the PDF on the contact.

Use it when the agreement workflow runs in Docusign and the Xero record is a contact.

Webhook relay

Xero posts a signed event each time someone creates or updates a contact or an invoice, and requires a 2xx answer within 5 seconds. A relay checks the x-xero-signature hash, reads the record through the API and calls the other system.

Use it when another system must act on each new or changed contact or invoice.

Scheduled sync

A job pages through invoices, contacts and payments on a schedule and writes the changes in batches. Xero allows 60 calls a minute per organisation, so after a 429 the job waits for the time the Retry-After header gives.

Use it for volume, and for payments and quotes, which have no webhook category.

Idempotent writes

Each create request carries an Idempotency-Key header. A retry after a timeout sends the same key, so Xero returns the cached response from the first call, for up to 6 minutes, and creates no second invoice.

Use it wherever a write to Xero may repeat, such as an invoice raised after a signature.

Xero's API, as we design around it

We took each fact from the vendors' own documentation and listings. The sources list at the foot of this page links each one.

Authentication
Xero's API uses OAuth 2.0 with the authorization code flow, or its PKCE extension for an app that cannot store a client secret. A Custom Connection uses the client credentials grant, connects a single organisation and carries a monthly fee on that organisation.
Webhooks
Xero posts events for every organisation connected to an app to the app's HTTPS URL, with an x-xero-signature header that holds an HMACSHA256 hash of the payload made with the webhook key. The endpoint must answer with a 2xx status within 5 seconds, and Xero retries a failed delivery at once, then every 15 minutes for up to 24 hours, before it disables the webhook. Xero keeps the events from the retry or disabled period for up to 31 days and replays them in order once the webhook is healthy.
API limits
Xero limits each connected organisation to 5 calls in progress at once, 60 calls a minute, and 1,000 calls a day on the starter tier or 5,000 on higher tiers. An app also has 10,000 calls a minute across all organisations. A call over a limit returns HTTP 429 with an X-Rate-Limit-Problem header, and a 429 for the minute or daily limit also carries a Retry-After header with the seconds to wait.
Test environment
A Xero account is free, and Xero recommends its demo company for development. The demo company comes with dummy data and resets 28 days after creation, and you then reconnect your app to it.
Marketplace listing
Xero App Store. Xero certifies an app against published checkpoints, such as a connection settings page, naming rules and minimal scopes, and a listed app sits in the Plus tier or above.

Xero integrations, answered

What does Xero integrate with?
Xero's own integrations sit in the Xero App Store beside partner apps. Xero publishes its Stripe and Shopify integrations, HubSpot publishes Data sync by HubSpot, and Gusto, Expensify and Fathom list their own. Zapier and Make carry Xero triggers and actions for simple automations. For a process none of these covers, we build a private integration on Xero's API and host it for your team.
Is there a Xero Docusign integration?
Yes, two. Fluidlabs publishes Xero for Docusign IAM on the Docusign App Center. It adds Read, Writeback and File Upload steps for Xero contacts to Docusign Workflow Builder. Amaka publishes its own Docusign and Xero integration, which Docusign lists in its Partner Finder. Every 15 minutes Amaka's integration sends Xero invoices, quotes, bills, purchase orders and expense claims for signature, and it files the signed copy back in Xero.
Which Xero records does the Fluidlabs app work with?
Our documentation describes the steps on Xero contacts. Read from Xero finds a contact by a unique field such as Account Number or Contact ID. Writeback to Xero updates or creates a contact with Name as the key field, and File Upload attaches a file to the contact's Files tab. Amaka's integration sends invoices and quotes for signature and files the signed copy in Xero, and Zapier lists Xero invoice and payment actions. We build the rest on Xero's API, as a private app for your Docusign account.
How does an integration authenticate with Xero?

Can a Docusign workflow call another system's API without a custom build?
Yes, when the other system's API fits the step. On qualifying IAM plans, such as IAM Professional and above, Docusign Workflow Builder has a Make a Web Request step, and Docusign installs the HTTP app the step needs. The step sends GET, POST or PUT requests to another system's API. The Docusign guide "Configure a Make a Web Request Step" lists Basic Auth connections, and the Docusign overview, "Connect to Any Service Using Web Requests", also lists OAuth 2.0 client credentials. If your system's API accepts one of those connections and each call is one of those requests, a workflow can call it. We check that on the scoping call. A custom build covers other sign-in methods and request types, and work that runs outside a workflow.
How does Fluidlabs price a custom integration?

Who hosts and maintains what Fluidlabs builds?
